Connect your Gmail or Outlook account to Coherence

Connecting Mailboxes

Coherence's email integration brings your conversations directly into your workspace, automatically linking them to the right contacts and records.

Supported Providers

Coherence supports two-way email sync with:

  • Gmail / Google Workspace
  • Outlook / Microsoft 365

Two-way sync means emails you send from Coherence also appear in your regular email client.

Connect Your Email

Step 1: Navigate to Settings

  1. Click on your profile in the bottom of the sidebar
  2. Select Settings
  3. Go to Email Accounts

Step 2: Add an Account

  1. Click Connect Email Account
  2. Choose your provider (Gmail or Outlook)
  3. Complete the authentication flow

Step 3: Authorize Access

You'll be redirected to Google or Microsoft to authorize Coherence. We request:

  • Read access - To import and display your emails
  • Send access - To send emails from within Coherence
  • Sync access - To keep everything up to date

Coherence never stores your email password. We use secure OAuth tokens provided by Google and Microsoft.

What Gets Synced?

Incoming Emails

  • Emails from known contacts appear on their record
  • New senders can be added as contacts
  • Thread history is maintained

Outgoing Emails

  • Emails sent from Coherence sync to your sent folder
  • BCC tracking keeps a copy linked to records

Not Synced

  • Spam and trash folders
  • Internal calendar invites
  • Bulk marketing emails (optional filter)

Automatic Linking

Coherence automatically links emails to records based on:

  1. Email addresses - Matches sender/recipient to contact emails
  2. Domains - Links to company records
  3. References - Maintains conversation threads

Manual Linking

For emails that can't be auto-linked:

  1. Open the email in Coherence
  2. Click Link to Record
  3. Search and select the relevant record

Multiple Accounts

You can connect multiple email accounts:

  • Personal and work accounts
  • Shared team inboxes
  • Role-based accounts (sales@, support@)

Each team member should connect their own account for proper tracking.

Privacy & Permissions

Personal Email Privacy

Your emails are only visible to you unless you explicitly share them or they're linked to shared records.

Team Visibility

Emails linked to records inherit the record's sharing settings:

  • Private records → emails visible only to record owners
  • Shared records → emails visible to all with record access

Troubleshooting

Sync Not Working?

  1. Check that the account is still connected in Settings
  2. Try disconnecting and reconnecting
  3. Ensure your Google/Microsoft account is active

Missing Emails?

  • Allow up to 15 minutes for initial sync
  • Very old emails may not be imported
  • Check spam/trash are excluded as expected

Permission Errors?

Your Google or Microsoft admin may need to approve the Coherence app for your organization.
